Position Title: Personal Secretary to the Vice Chancellor (PS to VC)

1. Position Description: The Personal Secretary to the Vice Chancellor (PS to VC) provides comprehensive administrative and organizational support to the Vice Chancellor for ensuring the efficient operation of the VC’s office. The role requires exceptional multitasking abilities, strong communication skills in both English and Bangla, and the ability to manage confidential and sensitive information with discretion. The PS must also be adept in drafting and report writing in both English and Bangla languages.

2. Key Responsibilities:

  1. Administrative Support:
    1. Manage the Vice Chancellor’s calendar, scheduling meetings, appointments, and events.
    2. Prepare, review, and organize correspondence, reports, and other official documents.
    3. Coordinate and arrange meetings, including preparing agendas, taking notes,
      drafting minutes, and following up on action items.
    4. Organize and manage the VC’s travel arrangements, including booking flights, accommodation, and transportation while required.
  2. Communication Management:
    1. Act as the primary point of contact between the VC and other university officials, staff, students, and external stakeholders.
    2. Handle incoming and outgoing correspondence, including emails, phone calls, and messages, ensuring prompt and accurate responses.
  3. Confidentiality and Discretion:
    1. Manage confidential and sensitive information with the highest level of discretion.
    2. Assist the VC by providing relevant information and preparing briefing materials for decision-making.
  4. Event Planning and Coordination:
    1. Plan and coordinate events such as conferences, workshops, and university ceremonies involving the VC.
    2. Manage invitations, RSVPs, and arrangements for visiting dignitaries or guests.
  5. Operational Support:
    1. Oversee the day-to-day operations of the VC’s office, ensuring efficiency and smooth operations.
    2. Ensure that the VC’s office is well-equipped with necessary materials and resources.
    3. Provide basic technical support for office equipment and software.
  6. Relationship Management:
    1. Build and maintain positive relationships with internal and external stakeholders.
    2. Support the VC in maintaining a positive public image and manage interactions with the media when required.
  7. Project Assistance:
    1. Assist the VC with special projects, including research, data collection, and preparation of presentations.
    2. Monitor the progress of initiatives, ensuring deadlines are met and objectives are achieved.
  8. Legal and Compliance Support:
    1. Ensure adherence to university policies and relevant regulations within the VC’s office.
    2. Assist in the preparation and filing of official/personal documents as necessary.
  9. Drafting and Report Writing:
    1. Demonstrate proficiency in drafting official documents, letters, and reports in both English and Bangla.
    2. Prepare high-quality reports, ensuring accuracy, clarity, and adhere to university standards.

3. Academic Qualification and other requirements. The candidate must have following:

  1. Masters’ degree in English/Public Relations or any equivalent subjects.
  2. 6 (Six) years’ experience in a similar administrative or secretarial role.
  3. Exceptional written and verbal communication skills in both English and Bangla.
  4. Proficiency in office software, including word processing, spreadsheets, and presentation tools.

4. Preferred Skills:

  1. Experience in the education sector or in a similar high-level executive support role.
  2. Familiarity with university policies and procedures.
  3. Basic understanding of official documentation and compliance requirements.
  4. Strong organizational and multitasking abilities, with attention to detail.
  5. Excellent interpersonal skills and the ability to work collaboratively with diverse stakeholders.

5. Salary and other benefits: As per University’s Service Policy. (PS to VC Grade-9).

6. Job nature: Full time
